Refund, Return,
and Cancellation Policy

WinXAlpha strives to ensure fairness and clarity in managing tournament participation, cancellations, and refunds. This policy outlines the rights and responsibilities of hosts, players, and the platform in relation to tournament operations.

1. Tournament Scheduling Rules

    1. Daily Tournament Policy

    • Hosts can only create and manage tournaments scheduled for the same day they are organized. Future tournaments (beyond the current day) are not allowed to ensure operational efficiency and fairness for all users.

    2. Same-Day Organizing Requirement

    • A tournament organized on a specific day must be scheduled to start and end on the same day. For example, if a tournament is organized today, it cannot be scheduled for a future date such as next week or beyond.

2. Host-Initiated Tournament Cancellations

    1. Cancellation Deadline

    • Hosts must cancel tournaments at least 4 hours before the tournament start time. Cancellations made after this deadline will incur penalties.

    2. Penalties for Late Cancellations

    • If a host cancels within the 4-hour penalty window, the following consequences apply:
    • i) Penalty Fee: A fee equal to 5% of the total prize pool, capped at ₹500, will be deducted from the host’s wallet or future earnings.

      ii) Temporary Suspension: The host will be restricted from organizing tournaments the next calendar day.

      iii) Reputation Impact: The host's profile rating will be affected, reducing their eligibility for advanced hosting tools and promotions.

      iv) Repeat Offenses: Hosts with three or more late cancellations in a 30-day period may face a temporary ban from hosting tournaments for up to 7 days or permanent restrictions, depending on the severity.

    3. Refund for Players

    • In the event of a cancellation, players will receive a full refund of their entry fees, which will be processed within 7 working days.

    4. Platform Support for Filling Tournaments

    • If necessary, WinXAlpha reserves the right to adjust participant slots or fill tournaments to ensure they proceed smoothly and minimize player inconvenience.

3. Player-Initiated Tournament Cancellations

    1. Cancellation Deadline

    • Players must cancel their participation at least 22 hours before the tournament start time to be eligible for a refund.

    2. Refund Eligibility

    • Cancellations made within 22 hours of the tournament start time are not eligible for refunds, except in cases of platform-related errors.

    3. Refund Processing

    • If refund is approved by WINXALPHA amount will be Credited to customer's in 5-7 working days

4. Platform-Initiated Cancellations

    1. Reasons for Cancellation

    • WinXAlpha may cancel tournaments due to:
    • i) Technical issues.

      ii) Policy violations by the host or players.

      iii) Low participation or prize pool inadequacy.

    2. Refunds for Platform Cancellations

    • Players’ entry fees will be fully refunded within 7 working days. No penalties will apply to hosts unless the cancellation was due to their violation of platform policies.

5. Money Handling and Refund Timelines

    1. Entry Fee Escrow

    • All entry fees are held securely in escrow until the tournament concludes. Refunds are triggered automatically in the event of a cancellation.

    2. Refund Timelines

    • Refunds for eligible transactions will be processed within 7 working days. Delays caused by external payment gateways will be communicated promptly.

    3. Wallet and Bonus Coins

    • Refunds to user wallets are instantaneous upon approval. Bonus Coins or promotional credits are non-refundable.

6. Notification Policy for Cancellations

    1. Host Notifications

    • Hosts are responsible for notifying players of cancellations through SMS or Email. WinXAlpha will also send automated notifications to all participants.

    2. Player Notifications

    • Refunds for eligible transactions will be processed within 7 working days. Delays caused by external payment gateways will be communicated promptly.

    3. Wallet and Bonus Coins

    • Refunds to user wallets are instantaneous upon approval. Bonus Coins or promotional credits are non-refundable.

7. Penalties for Non-Compliance

    1. Host Penalties

    • Hosts who frequently cancel tournaments or violate platform rules will face:
    • i) Suspension of hosting privileges.

      ii) Permanent account disqualification for repeated violations.

      iii) Monetary penalties as specified.

    2. Player Penalties

    • Players engaging in fraudulent behavior or disruptive activities may face account suspension or termination.

8. Additional Terms

    1. Force Majeure

    • WinXAlpha will not be held responsible for delays, cancellations, or issues caused by unforeseen circumstances, such as natural disasters, technical failures, or regulatory actions.

    2. Dispute Resolution

    • Disputes related to refunds or cancellations must be reported to [support@winxalpha.com] within 7 days of the incident.
